Business Challenge
When the property market was at its most turbulent we received a call from our client asking if there was anything we could do to reduce the number of interruptions to their offices without reducing the throughput of work.
They had just implemented a new Case Tracking system and although they had seen improvements in throughput, they where still struggling to stay on top of the demand.
Our Solution
We provided an Internet Web-Site, which we linked to their Case Tracking system. This had to be done without any changes to their Case system and in such a way that they were able to control who had access to what information.
We created a system that interrogates the case tracking system to identify what information should be retrieved for the appropriate cases and clients. The same system then filters the information according to rules defined by the Firm and posts relevant information up on the Internet site, which we host. At the same time the system generates emails or SMS text messages to inform the clients of changes in their matters. Each client has their own set of pages that they can log into to see in more detail how their matter is progressing. All this is done in a highly secure way that means no external client can ever access the internal systems.

No need for disruptive telephone calls as clients and agents are automatically notified when anything happens. The clients are happy they get a better service. Their agents are happy as they now know what is going on without having to chase solicitors and our client is happy, as they have reduced the number of interruptions they suffer but are still able to offer the highest quality service to a larger number of clients. In fact within 6 months of the system going live they were able to move one of their 5 conveyancing staff out to another department.
