Business Challenge
Our client has developed an advanced practice where the movement of paper around the office has almost been stopped, where all matters are managed electronically and most documents are transmitted electronically. What they wanted was to take the process further by enabling clients to monitor and contribute to the progress of their matters via the Internet. Their major area of work however is in Commercial Conveyancing, which does not readily fit a standard workflow tracking model.
Our Solution
Working with the client we developed a plan to provide a "virtual case room" where, by sharing access to reference documents, documents in process and status reporting, clients and other interested parties would be able to see where things were, as well as assist in speeding up matters.
We worked with the Firm to decide what would be the most useful features of the case room and how they would need to work. The resulting design includes:
- Viewable reference documents;
- Viewable documents in progress, which can be commented on by all authorized parties;
- Contact list so members of the room can view telephone numbers and email directly to other members;
- Notice-board where messages and documents can be posted for all, or only selected members, to see;
- Major step tracking display.
Summary
The facility has now been added to our standard product as we believe this capability will support a wide range of applications and legal areas.
